Planner in chats & meetings

Teams-like flow: bind a plan to the room, turn messages into tasks, and track the agenda in the meeting.

Prerequisites

  • A connected task provider (Liman Cloud Planner and/or Microsoft Planner) under Settings → Provider accounts → Tasks
  • For room todos and the channel agent bot: a Liman plan created for this chat (container set at create)
  • For Microsoft plans: Microsoft sign-in and membership in the plan’s Microsoft 365 group
  • For the meeting agenda: the meeting’s Matrix room (chat/channel)

Access (like Microsoft Planner)

Access comes from the container, not from a Planner-specific admin role.

Non-members do not see the bound Liman plan. If the Microsoft plan is missing from your Planner, you see a message about the group.

1. Plan as a chat or channel tab

  1. Open a chat or channel
  2. Tab bar → + / Add tab
  3. Choose Liman Planner
  4. Create a new Liman plan for this chat or pick a plan that already belongs to this chat (Liman) or to a group (Microsoft)
  5. Confirm → the tab shows that fixed plan (no “My plans” overview)

The tab stores plan ID and provider. A new Liman plan is for this room only (the channel assistant and meeting prep use the same plan). You cannot reattach an existing personal plan — create a new one instead.

2. Save a message as a task

  1. Message context menu → Save as task
  2. Choose plan and bucket (default: plan from the room’s Planner tab)
  3. Optionally Post a task card in this chat
  4. Save → task in Planner; optional deep-link card in chat

Works with Microsoft Planner and Liman Cloud Planner (depending on sign-in).

3. Prepare a meeting (AI Agent)

In AI Agent (/assistant):

  1. Name or focus the room/channel
  2. Ask e.g. “Prepare an agenda for this channel”
  3. The assistant uses chat, files, calendar, and open tasks only from the room-bound plan
  4. After confirmation, the agenda can be written to the room’s collab agenda block

Channel bot (@mention)

In the channel with @Bot or /agent:

  • Prepare agenda → numbered agenda in chat (todos + optional recent meeting minutes)
  • After the meeting: promote action items as channel todos (confirm with yes)
  • Writing the collab agenda remains in the app (/assistant)

4. Agenda during the meeting (Facilitator-lite)

In the meeting side drawer:

  • The current agenda item is highlighted from live captions / transcript history (keyword match).
  • Done / Next marks the current item; optional checkboxes per row.
  • An agenda prepared in step 3 appears here when written for the same room.

Not included: on-stage timer, fully automatic AI notes like Microsoft Facilitator.

After the call: action items → channel todos (bot or assistant)
